Senior Manager (Project Management and Facilities)

Job Descriptions:

 

  • Responsible for managing our project management department and the day to day lease and facilities needs of the company.  Examples of projects include; clinic relocations, new clinic openings, clinic closures, acquisition integrations and system implementations.
  • Project Management:
    Oversee project management activities utilizing the five project management principles
    • Provide cost benefit analysis during feasibility planning
    • Develop and maintain associated project budgets
    • Determine potential risks to business and escalate as required
    • Implement a continuous improvement process to identity opportunities for quality and efficiency improvement within project management
  • Supporting acquisition projects;
  • Work with business development to support full acquisition process cycle from due diligence stage to post close transition stage
  • Attend due diligence and ensure accurate information is collected from vendor and transmitted to appropriate departments to ensure relevant decisions are made (e.g. equipment inventory, pricing strategy, facilities leases, marketing, human resources, IT, etc.)
  • Support integration strategy development
  • Manage tasks and departments appropriately to ensure that integration plan is followed, and all closing deadlines are achieved
  • Support clinic integration process with Regional Manager
  • To work with clinical operations management to facilitate 30, 60, and 90-day gap analysis and ensure that realistic timelines are developed

 

  • Lease and Facilities Management
  • Maintain regular contact with leasing broker and landlords regarding potential clinic locations
  • Maintain lease database (ProLease)
  • Ensure leases, subleases and administrative service agreements are maintained;
  • Work with internal teams to review new leases and pending renewal plans
  • Work with landlord, finance, lawyers and property management firms to facilitate negotiation of (renewal) terms
  • Work with the Leadership team to identify opportunities for relocations of existing locations
  • Identify opportunities for improving efficiencies of maintenance services provided
  • Oversight of Operations Administrator who provides administrative support to ensure;
  • Documentation is completely and accurately maintained and provided to key stakeholders as required
  • Regular facility maintenance is completed, and any issues are resolved in an expedient manner
  • Proof of insurance is in place and updated as required

 

  • Audiological Equipment Management
  • Responsible for maintaining a strong relationship with primary equipment vendor and ensuring that annual calibration requirements are met
  • Ensure all equipment in company is compliant with calibration requirements
  • Manage all repairs and new equipment requests in a timely manner and as to not impact the clinic operations

 

  • Manage, mentor and develop direct reports
  • Set objectives for staff and ensure appropriate training is provided
  • Participate in any relevant recruitment activities
  • Attending meetings, and provide updates to the Leadership and Executive Management teams as required
  • Preparing and delivering various presentations, as required

 

  • Other
    • Travel within the clinic regions is required
    • Construction Management

 

Job Requirements:

 

  • Proven ability to build strong relationships with internal customers, leasing agents, property managers, landlords, government agencies and other stakeholders
  • Excellent written and oral communication skills; ability to communicate appropriately with a variety of stakeholders
  • Excellent organizational skills; ability to work under pressure, prioritize, manage time efficiently
  • Ability to interpret financial statements and operations reports, retail KPIs, etc.
  • 5 years of related Project Management experience
  • Designation in project management required
  • High Proficiency in Microsoft Office (Word/Excel/PowerPoint/Outlook), project management software and other related applications.
  • Experience in retail healthcare clinic environment (an asset to have)
  • Construction & Facility Management (an asset to have)
